At Great Smile Dental, we are committed to providing exceptional care. Our appointments are reserved specifically for you, and we ask that you respect our scheduling policies so we can serve all our patients efficiently.
1. Appointment Cancellation Policy
We understand that circumstances may change. However, missed appointments prevent us from treating other patients who may need urgent care.
- 24-Hour Notice Required: If you need to cancel or reschedule your appointment, you must notify us at least 24 hours in advance.
- How to Cancel: You may cancel by calling our office at (847) 945-1050 or by managing your booking through your Great Smile Online User Profile.
- Late Cancellations: Appointments cancelled with less than 24 hours' notice may be subject to a cancellation fee of $50 (or an amount determined by the complexity of the scheduled procedure).
2. No-Show Policy
A "No-Show" occurs when a patient misses an appointment without cancelling.
- Failure to Attend: If you do not arrive for your scheduled appointment and do not provide notice, a No-Show fee will be applied to your account.
- Repeated No-Shows: Patients with a history of repeated missed appointments may be required to pay a non-refundable deposit to book future visits, or may be dismissed from the practice.
3. Late Arrival Policy
We value your time and strive to stay on schedule.
- Grace Period: If you are running late, please call us immediately. We allow a 10-15 minute grace period.
- Rescheduling: If you arrive more than 15 minutes late, we may need to reschedule your appointment to another day to avoid delaying the next patient. This may be considered a "Late Cancellation" subject to the fee mentioned above.
4. Refund Policy for Dental Services
Unlike retail goods, dental services involve professional time, specialized materials, and laboratory costs. Therefore, the following policies apply:
- Completed Treatments: Refunds are not issued for dental services that have already been rendered (e.g., fillings, cleanings, extractions).
- Quality Assurance: We stand behind the quality of our work. If you are unsatisfied with a treatment or experiencing issues (e.g., a filling feels high), please contact us immediately. We will schedule a follow-up visit to adjust or repair the work as deemed appropriate by the doctor.
- Custom Appliances: Custom-made items such as Night Guards, Crowns, Bridges, or Dentures involve significant laboratory fees. Once the lab work has started, these fees are non-refundable.
5. Refund Policy for Pre-Payments & Deposits
- Booking Deposits: If you paid a deposit to secure a major procedure, it is fully refundable if you cancel with more than 48 hours' notice.
- Account Credits: If you have prepaid for a treatment plan but decide not to proceed before the treatment begins, the remaining balance will be refunded to you.
6. Insurance Overpayments
In many cases, we collect an estimated co-pay at the time of service. Once your insurance company processes the claim:
- Patient Refund: If your insurance pays more than estimated, resulting in a credit balance on your account, we will issue a refund check or refund the credit card on file upon request.
- Patient Balance: If your insurance pays less than estimated, you are responsible for the remaining balance.
